Job Description

Primary Roles and Responsibilities

  • Schedule patients including new consults and regular patients; must be knowledgeable with various services offered including time and other requirements for each service
  • Must have sufficient familiarity with what the center does and what the providers treat to explain to potential patients
  • Check out patients, including payment processing
  • Reconcile all payments at close of business
  • Pull charts and ensure adherence to Medicare guidelines regarding paperwork
  • Assist patients in store as needed; requires basic knowledge of supplements
  • Front desk side duties, as assigned (could include but isn’t limited to form printing and inventory, monitoring and enforcing cancellation policies, brochure stock, front desk tidiness)
  • Adhere to all government regulations regarding HIPAA compliance and reporting of violations
  • Provide superior customer service to all patients and providers of the center; including but not limited to scheduling, check in, check out.
  • Be familiar with and follow Medicare guidelines and requirements
  • Work as a key member of the front desk team
  • Work with the Manager to identify and recommend ways to improve front desk operations and enhance customer service.
  • Lead by example in terms of demonstrating exemplary customer service skills.

Knowledge Skills and Abilities

  • Demonstrated interest and commitment to the concepts of good nutrition, healthy living and regular exercise
  • Demonstrated leadership and teamwork skills
  • High School diploma
  • Three or more years’ experience in a front desk/customer service setting
  • Experience could be in non-medical industries such as hotel, fitness center, spa, or other high service environments
  • Experience interacting with demanding customers & clients and exceeding their expectations
  • Proficiency in Microsoft Office; will train on practice management software.
  • Excellent written and oral communication skills
  • Well organized, with attention to detail and consistent follow through
  • Ability to lift 20 pounds
  • Ability to stand for extended period “reaching and pulling or filing” charts
  • Experience with converting paper charts to an electronic health record system preferred
